# What is Artific?

Learn about the platform in five minutes, so you get off to a good start.

## The problem it solves

AI tools are useful and they are everywhere. That creates an awkward situation for an organisation: people either use whatever public tool they can find, with no control over what goes into it, or they are told not to and get no benefit at all.

Artific is the third option. It brings the useful parts of AI inside your organisation, where your documents, your house style and your rules apply, and where an administrator decides who can do what.

## What it actually is

A web platform your colleagues sign in to, containing three things.

### AI assistants

Chat-based assistants that answer questions. The difference from a public chatbot is that these have been given **your** documents and told how **your** organisation writes. Ask about your leave policy and you get your policy, not a general description of how leave usually works.

Assistants can also do more than talk: look something up in another system, work on a file you attach, or hand you over to a colleague.

### AI Toolbox

Ready-made tools for the things people do repeatedly. Instead of writing a prompt, you fill in a short form (paste the text, pick a tone, choose a length) and get a finished result.

Someone in your organisation built each tool once, tested it, and shared it. Everyone else benefits without needing any skill in asking AI questions. For many organisations this is where adoption actually happens.

### Conversation module

A shared inbox for a team mailbox. Every incoming message arrives with a **draft reply already written**, using your knowledge and your house style. A person reads it, edits it, and sends it.

Nothing is ever sent automatically. The assistant does the drafting; a colleague stays responsible for what goes out.

## What holds it together

Behind the three modules are the things that make them yours:

| | |
| --------------------------- | --------------------------------------------------------------------------------------- |
| **Knowledge base** | Your documents, organised and made searchable, so assistants answer from your material. |
| **Tone of voice** | Your writing style, captured once and applied everywhere. |
| **Users, groups and roles** | Who can see and do what. |
| **Tools and connectors** | Connections to the systems you already use. |
| **Quality control** | Automated checks that assistants keep answering correctly. |
| **Reports** | What is being used, by whom, and what it costs. |

## Who does what

| Role | What they do |
| ------------------- | ----------------------------------------------------------------------------------- |
| **Everyone** | Chat with assistants, run Toolbox elements, work the Inbox. |
| **Administrators** | Build the assistants, manage the documents, decide who gets access. |
| **Account manager** | Your contact for plans, contracts, and anything the platform does not currently do. |

Which of these you are decides which half of this documentation you need. See [Am I an administrator?](/en/getting-started/am-i-an-administrator.md).

## What it does not do

Worth being clear about, because it saves disappointment:

* **Assistants can be wrong.** They can state something incorrect with complete confidence. Check anything that matters.
* **They only know what they were given.** A document nobody added has not been read.
* **They do not learn from your conversations.** Correcting one today does not change tomorrow.
* **They do not act without being asked.** Nothing is sent, changed or decided on your behalf without a person involved.
