# Frequently asked questions

## Using it

**Can the assistant be wrong?** Yes. It can state something incorrect with complete confidence. Check anything that matters, and use the **Sources used** block under an answer to see where it came from.

**Why does it not know about something obviously relevant?** It only knows what your organisation gave it. If a document was never added to the knowledge base, it has not read it. Tell your administrator.

**Does it remember our last conversation?** No, unless the assistant has [memory](/en/for-everyone/assistants/personalising.md) enabled and you have saved something to it. Each new chat starts fresh.

**Can colleagues see my conversations?** Your chats are your own. Administrators may be able to read conversation logs for assistants they manage. That is a setting your organisation controls. Chats inside a shared [project](/en/for-everyone/projects.md) can be visible to others, depending on how it was shared.

**Why have my old chats disappeared?** Many organisations remove conversation history automatically after a set period. Your administrator can tell you what yours is. Save anything you need out of the platform.

**Which language does it answer in?** Generally the language you write in. To fix it, set a [personal instruction](/en/for-everyone/assistants/personalising.md) such as *"Always answer in Dutch."* Your interface language is separate, in [Preferences](/en/for-everyone/preferences.md).

**Can I upload a scanned document?** Yes. Scanned PDFs are supported: the platform reads the text off the pages first. A clean, straight scan gives the best results.

**Something in this documentation is not in my menu.** Either your rights or your plan. See [Am I an administrator?](/en/getting-started/am-i-an-administrator.md).

## Building things

**Where do I start as a new administrator?** [Your first week as an administrator](/en/for-administrators/first-week.md). Build one assistant properly rather than five roughly.

**Why can the assistant not find a document I uploaded?** Almost always one of: it is not **Indexed** yet, no search tool covers its collection, or the search tool is not switched on for that assistant. Work through [Troubleshooting](/en/for-administrators/troubleshooting.md).

**Why does my assistant invent things?** Lower **Creativity**, tell it explicitly to answer only from its documents and to say when it does not know, and turn on **Show references**.

**I gave someone rights but nothing changed.** Rights come from group membership only. Editing a user does not change what they can do. Add them to a group whose role grants it. See [Users and access](/en/for-administrators/access.md).

**Assistant or Toolbox element?** If you can write the instructions once and only the input changes, build an element. If you cannot predict what will be asked, build an assistant.

**How do I stop an assistant answering things it should not?** Say so in the instructions, restrict it to the right user groups, control which documents its search tool covers, and add a [quality control](/en/for-administrators/quality/scenarios.md) scenario that checks it still refuses.

**Why did our costs go up?** Open the [Token report](/en/for-administrators/reports/tokens.md) and break it down per assistant, then per model. Usually a new assistant went live, a search tool is returning much more context, or an expensive model is handling simple high-volume questions.

**Can I copy an assistant to another organisation?** Yes, if you manage child organisations. See [Child organizations](/en/for-administrators/organization/child-organizations.md). The copy is independent: later changes do not flow between them.

## Everything else

**Who do I ask about our plan, contract or invoice?** Your account manager.

**We need a feature that does not exist.** Tell your account manager. Administrators should collect these rather than everyone raising them separately.

**Something is broken and it is not covered here.** Administrators: work through [Troubleshooting](/en/for-administrators/troubleshooting.md), then contact your account manager. Users: see [Getting help](/en/for-everyone/getting-help.md).
